An order confirmation email tells a customer that the seller recorded or accepted a specific order. It should arrive promptly after the authoritative order event, identify the order without exposing unnecessary personal or payment data, describe its current state accurately, and explain what happens next. It is not automatically a receipt, payment confirmation, shipping notice, or delivery confirmation.

Name the selected location, current state, expected preparation window, pickup identity requirements, accessibility contact, hold period, and cancellation route. The order confirmation can say pickup was selected. Only a later pickup-ready event should tell the customer to travel.
4. Preorder confirmation template
Preorders require unusually careful time language. Distinguish an estimated release date from a promised ship or delivery date. State when payment is authorized or captured, how changes will be communicated, and how the customer can cancel where applicable. If the estimate changes, send a new consequence-focused update rather than silently editing an account page.
5. Digital order confirmation template
For digital goods, state what access was granted, to which account, for how long, and how to retrieve it safely. Avoid permanent bearer links in forwarded email when the asset or account is sensitive. If processing continues after purchase, confirm the order first and send the result only when the generation job succeeds.
6. Subscription order confirmation template
Separate the current order from future recurring terms. Show the current total and state, renewal or next-order date, cadence, expected future amount or calculation path, and an authenticated management route. Do not hide recurring terms below unrelated recommendations.
7. Marketplace order confirmation template
A marketplace may coordinate payment while independent sellers fulfill items. Group items by responsible seller or shipment, state the support path, and explain whether charges, cancellations, returns, and shipping updates are handled together or separately. A single order number should not imply a single fulfillment promise when none exists.
8. Split-fulfillment confirmation template
Tell the customer at confirmation when items are expected to ship separately, but reserve carrier and tracking claims for later events. Keep one stable order view that reconciles items, shipments, cancellations, and refunds so individual emails do not become conflicting snapshots.
What every order confirmation email should include
- Recognizable From name and authenticated sending domain.
- Accurate state in the subject, heading, and first sentence.
- Stable order reference that support and the customer can use.
- Item names, variants, quantities, and prices as ordered.
- Subtotal, discounts, shipping, tax, credits, and total without hidden arithmetic.
- Payment state and a masked method only when relevant and supported by the payment record.
- Delivery, pickup, release, or access estimate with the uncertainty clearly labeled.
- A redacted address summary and secure order-management route.
- Next expected event plus cancellation, correction, returns, and support paths where applicable.
- Plain-text alternative and accessible live text for essential details.
Trigger from committed order state
Do not trigger the confirmation from the browser's success page. A tab can close before the send, refresh into a duplicate, or display after the backend failed. Commit the order, record the authoritative event and a unique message intent, then let a worker send idempotently. Provider acceptance is another milestone—not proof that the message reached the inbox.

Never include full payment credentials, authentication secrets, password-reset links, or unnecessary personal data. Mask payment references and addresses. Use HTTPS account links with safe authorization behavior, prevent redirect parameters from accepting arbitrary destinations, and make forwarded messages minimally revealing. Avoid third-party promotional pixels in sensitive receipts and account communications when they are not necessary for the operational purpose.

Is an order confirmation email a receipt?
Not necessarily. An order confirmation establishes the order state. A receipt documents a completed payment or refund under the business's applicable requirements. They can be delivered together when every statement is accurate, but their meanings and source events remain distinct.
When should an order confirmation email be sent?
Send promptly after the backend records the state named in the message. If acceptance is still pending, send an order-received notice and follow with confirmation or rejection after the decision. Do not wait for a browser redirect, and do not call a pending order confirmed merely to send faster.
Can an order confirmation include promotions?
Keep the operational content dominant and easy to find. Promotional content can affect how a mixed-purpose message is classified and how recipients perceive it. Review message purpose, consent, unsubscribe behavior, and applicable law before adding cross-sells to a transactional confirmation.
