A Google Workspace email alias is a free alternate address for one existing user. Mail sent to the alias arrives in that user's primary inbox. The alias has no separate Google Account, password, mailbox, storage, Drive, Calendar, security policy, or audit identity. Google currently allows up to 30 aliases per user at no extra cost.
Create a paid user when another person or durable identity needs its own sign-in, mailbox, files, permissions, multifactor authentication, and offboarding record. If several people need to work from one role address, an alias is usually the wrong tool: use a Google Group, Collaborative Inbox, delegated Gmail account, or purpose-built shared inbox according to the workflow.

What is a Google Workspace email alias?
An alias is a forwarding address an administrator attaches to a user's primary address. If Maya owns [email protected] and receives the alias [email protected], messages to both addresses arrive in Maya's same mailbox. Maya signs in as [email protected]; billing@ is not a Google Account and cannot be used to sign in to Gmail or Google Drive.

Google says an alias can be used by only one user for receiving mail. Although forwarding rules or custom From settings can create more complicated behavior, they do not turn the alias into an independent mailbox or a reliable team queue. If ownership is shared, model it as shared work from the beginning.
What does a paid Google Workspace user provide?
A user is an organizational identity. It has a primary address and sign-in, Gmail mailbox, allocated pooled storage, Drive and Calendar access, authentication factors, sessions, app access, licenses, directory attributes, audit events, and an administrator-controlled lifecycle. The exact services and controls depend on the Workspace edition and administrator settings.
- Create a user for every employee who needs an individual Workspace identity and ordinary Gmail access.
- Create a user for a contractor when the organization must control that person's mailbox, files, access, and offboarding; do not recycle another person's login.
- Use an independently managed account when an address needs a durable mailbox, retained history, its own settings, or delegation to others.
- Do not create a paid user solely because one existing person needs another public-facing address; that is the problem an alias solves.
Does a Google Workspace email alias cost extra?
No. Google currently permits up to 30 email aliases for each user without an extra charge. Aliases do not increase the number of licenses, because they do not create accounts. A 5-person company on Business Starter's standard U.S. annual commitment therefore pays for five users whether those users have zero aliases or 20 aliases in total.

Alias vs Google Group
Use an alias when one user should receive the address. Use a Google Group when mail should reach a membership list or be visible as group conversations. A Group is well suited to addresses such as all@, announcements@, leadership@, or a role address that several people must receive. Configure who can post, view conversations, join, and send as the group; defaults should not be assumed.

A distribution Group can create duplicate copies in member inboxes. Decide whether
people reply individually, reply as the Group, or work in the Group interface.A Group does not create another human login or personal Drive. Members act through their own accounts, which is an advantage for access control and offboarding. Removing a departing employee from the Group changes future delivery without moving the address between users. However, an ordinary distribution list does not automatically show teammates who is handling a message.
Collaborative Inbox vs delegated mailbox
Google Groups can turn a Group into a Collaborative Inbox. With the required permissions and conversation history enabled, members can take or assign a conversation, mark it complete, duplicate, or no action needed, and search by assignee or resolution status. This adds lightweight queue management without creating a Gmail user for the Group itself.
Gmail delegation grants people access to one underlying Gmail account. Google says delegated accounts and shared inboxes are the same in Gmail. Delegates can read, send, and delete messages for the account and use its filters, archive, and labels, but they cannot change its password or chat as the account. An administrator can control whether recipients see only the account owner or also the delegate in sender information.

Can you send email from a Google Workspace alias?
Yes, but receiving and sending are separate behaviors. Incoming mail routes to the primary user's inbox after the administrator creates the alias. To send from the alias, Google directs the user to configure it as a custom From address in Gmail under Settings, Accounts, and Send mail as. The user can then choose the alias in the From field.
- Add and verify the alias in Gmail's Send mail as settings where required.
- Set the correct default From only if most outgoing mail should use the alias.
- Set Reply-To deliberately; Google notes that changing only From can leave replies going to the original address by default.
- Send tests to Gmail and non-Gmail recipients and inspect the displayed From, Reply-To, and any on-behalf-of treatment.
- Create filters or labels using the delivered-to address so the owner can distinguish roles inside one inbox.
Aliases do not add storage or sending capacity
Because an alias routes into the same account, it does not create separate storage. Messages sent from a user's alternate address or alias also count toward that user's Gmail sending limits. Adding ten aliases therefore does not multiply the account's daily allowance by ten. Delegated sending counts toward the relevant user limits as Google defines them as well.
Workspace mailboxes are for human business correspondence, not an architecture for product notifications or a large permission-based audience. Keep newsletters in an email marketing platform and send receipts, password resets, and application events through transactional email infrastructure with authentication, suppression, retries, and delivery webhooks.
User alias domain vs secondary domain
A user alias domain gives existing users corresponding addresses at another domain without creating new accounts. If [email protected] already exists and northstar.co is added as a user alias domain, Maya can also receive [email protected] in the same account. Google says alias domains add no per-user or per-Group cost and currently permits up to 20 user alias domains.
A secondary domain is for a different set of users. Those people receive Workspace accounts, addresses, and mailboxes at that domain, and Google charges for the user accounts added there. Use a user alias domain for a rebrand, alternate company domain, or spelling variant used by the same people. Use a secondary domain when a separate business unit or team needs distinct users.

An alias inherits the primary user's security boundary. It has no separate password, MFA policy, session, recovery options, or access log. Anyone who controls the primary mailbox controls the alias. That simplicity is useful for one person and dangerous when several people informally share access.
- Give every human their own account so authentication, device access, audit activity, and departure can be managed per person.
- Use Group membership or delegation for shared access instead of publishing a common password in a password manager or team document.
- Record an owner and backup for every role address; test access when responsibilities change.
- When moving an alias to another user, remember that future routing moves but messages already delivered remain in the former owner's mailbox unless separately migrated or retained.
- Before deleting an employee account, transfer required Drive data, calendar ownership, mail, aliases, Groups, recovery routes, and application dependencies under the organization's retention policy.
- Review external posting, delegation, and Group membership regularly, especially after role changes and contractor departures.
How to create an email alias in Google Workspace

2. Select the existing user who will own the alias.
3. Choose Add Alternate Emails.
4. Enter the address and select an eligible verified domain.
5. Save, then test inbound delivery.

6. Sign in with the primary account, not the alias.

Google says alias changes can take up to 24 hours, though they often apply sooner.An alias cannot duplicate an existing Google Account address in the organization. User alias domains may not appear in the same domain selector because those aliases are created automatically. Do not remove an old mailbox and immediately reassign its address without first preserving required mail and files and checking propagation, routing, retention, and legal-hold requirements.

Is a Google Workspace alias free?

Can I log in with a Google Workspace alias?

Can an alias have a separate inbox?

Can I move an alias to another user?
An administrator can remove the alias from one user and add it to another after the address becomes available. That changes future routing; it does not move messages already delivered to the old owner's mailbox. Preserve required history before the change and allow for Google's stated propagation window.
Does an alias have its own Gmail sending limit?
No. Google includes messages sent from a user's alternate address or alias in that user's sending limits. Aliases are not a way to multiply Gmail capacity. Use a campaign or transactional provider for automated or high-volume sending.
Should a former employee's address become an alias?
It can route new mail to a successor after the former account is handled correctly, and Google lists that as an alias use case. First apply the organization's offboarding, retention, legal-hold, data-transfer, privacy, and notice rules.
