Google Postmaster Tools is the closest thing senders have to a first-party diagnostic window into email sent to personal Gmail accounts. It will not tell you where every message landed, but it can show whether Gmail sees problems with your compliance, user-reported spam, authentication, encryption, feedback-loop campaigns, and delivery errors.
The product is changing. Google is moving senders toward Postmaster Tools v2, which adds a modern interface and a Compliance dashboard. The v2 API became generally available in 2026 and now supports richer statistics queries, compliance status, batch operations, and domain and user management. That makes older guides centered on a single reputation graph incomplete.
What Postmaster Tools can—and cannot—tell you
Postmaster Tools reports on mail sent to personal Gmail accounts, including addresses ending in gmail.com or googlemail.com. It does not represent delivery to Google Workspace recipients, Outlook, Yahoo, Apple, or the rest of your audience. Use it as Gmail-specific evidence inside a broader deliverability practice.
- Use it to monitor Gmail sender-requirement compliance and authentication.
- Use it to spot changes in user-reported spam and campaign-level complaints.
- Use it to understand Gmail delivery errors and encrypted transport rates.
- Do not treat missing data as proof that everything is healthy.
- Do not expect real-time reporting or message-level inbox-placement results.
- Do not compare a Gmail-only rate directly with a whole-list metric without context.
Google may omit dashboard data on low-volume days to protect recipient privacy. Forwarded messages are generally excluded, although some can still appear. These limitations mean the absence of a line or category is often a data-availability issue—not a clean bill of health.
Set up the right sending domain
Add the domain your mail actually uses for authentication: either the DKIM signing domain shown by d= in the DKIM signature or the SPF domain used in the Return-Path. If SPF and DKIM use the same domain, Postmaster Tools can use messages authenticated by either or both when building dashboard data.
- Sign in to Postmaster Tools with a Google or Google Workspace account.
- Add the parent sending domain first, then add subdomains you want to monitor separately.
- Copy Google's verification token into a DNS TXT record.
- Return to Postmaster Tools and verify ownership.
- Grant access to the deliverability, engineering, and lifecycle owners who need it.
- Document which sending streams, From domains, DKIM domains, and Return-Path domains feed each view.
Start with the Compliance dashboard
The v2 Compliance dashboard should be the first stop because it turns Gmail's sender requirements into a direct operational checklist. For senders that have ever sent close to 5,000 messages from the same primary domain to personal Gmail accounts in a 24-hour period, Google treats that domain as a bulk sender permanently.
Bulk-sender requirements include SPF and DKIM authentication, a DMARC record with at least a monitoring policy, alignment between the visible From domain and either SPF or DKIM, valid forward and reverse DNS, TLS, properly formatted messages, low spam rates, and one-click unsubscribe for marketing and promotional mail. Unsubscribe requests must be honored promptly; Google's compliance table uses a 48-hour window.

Read the spam-rate dashboard carefully
Postmaster Tools spam rate is a user-report signal, not the percentage of all messages Gmail classified as spam. It measures messages delivered to engaged recipients' inboxes and then marked as spam. When Gmail already routes a large share of your mail to spam, the displayed rate can look deceptively low because fewer inbox messages remain available to be reported.
Google says senders should keep the rate below 0.1% and prevent it from ever reaching 0.3% or higher. Rates at or above 0.3% have a stronger negative effect and can make bulk senders ineligible for delivery mitigation until the rate remains below that level for seven consecutive days.
- Review the daily trend, not only the latest point.
- Annotate audience-source, volume, frequency, and campaign changes.
- Compare user-reported spam with unsubscribes, replies, clicks, and list growth.
- Pause expansion when a new source or campaign type creates a sustained change.
- Remember that improved behavior can take time to affect Gmail classification.
Use Feedback Loop data to find the source
The aggregate spam-rate dashboard tells you there is a problem. The Feedback Loop dashboard can help show which campaign or traffic class is contributing to it, provided your messages include a correctly formatted Feedback-ID header.
Choose identifiers that map to decisions your team can make: stream, campaign type, acquisition source, or audience cohort. Keep the taxonomy stable enough to compare over time, and avoid creating so many unique IDs that the resulting data becomes sparse or difficult to interpret.

Passing one test message does not mean all production mail is authenticated. The Authentication dashboard shows the percentage of traffic that passed SPF, DKIM, and DMARC. A dip can expose a forgotten sending service, misaligned subdomain, forwarded stream, broken selector, or new infrastructure that launched without the same DNS configuration.
- Investigate sudden changes by sending service and stream.
- Check whether a new From domain aligns with SPF or DKIM.
- Confirm every third-party sender uses an approved DKIM signature.
- Review DMARC aggregate reports alongside Postmaster Tools.
- Retire infrastructure and DNS records that no longer send legitimate mail.
Delivery errors show Gmail's immediate response
The Delivery Errors dashboard reports rejected or temporarily failed traffic and groups it by reason. This is where configuration failures, authentication problems, rate limits, reputation-based deferrals, suspicious traffic patterns, unsupported content, and other SMTP responses become visible.
Pair the dashboard with the exact enhanced SMTP codes captured by your sending provider. A deferral calls for slower, steadier sending and investigation—not rapid retries at the same volume. A permanent authentication failure calls for a configuration fix, not an audience change.

Encryption should be boring—and consistently high
The Encryption dashboard shows the share of inbound and outbound Gmail traffic using TLS. Your email service should negotiate TLS for mail sent to Gmail. A drop can indicate a routing or infrastructure change that deserves immediate attention, especially because TLS is part of Gmail's sender requirements.
Treat legacy reputation as context, not a diagnosis
The legacy Domain and IP Reputation dashboards classify sending quality in broad categories. They can help establish historical context, but Google has said these dashboards will be retired and replaced because reputation is slow to change, difficult to act on, and only one of many factors affecting delivery.
Do not respond to a reputation label by rotating domains or IP addresses. Start with the behavior behind it: consent, complaint patterns, volume consistency, authentication coverage, list age, acquisition source, and the specific errors Gmail returns.
A weekly Postmaster Tools review
- Check Compliance for any new requirement failure or warning.
- Review seven- and thirty-day spam-rate direction.
- Open Feedback Loop reporting and identify the traffic class behind changes.
- Confirm SPF, DKIM, and DMARC pass rates remain stable.
- Review delivery errors by reason and compare them with provider SMTP logs.
- Confirm TLS remains consistent.
- Annotate major audience, volume, infrastructure, and content changes.
- Assign an owner and next action to every meaningful change.
An incident workflow when Gmail delivery changes
- Confirm the scope: domain, subdomain, IP, stream, campaign, and start time.
- Check Compliance and authentication before changing sending behavior.
- Inspect enhanced SMTP codes and Postmaster Tools delivery errors.
- Compare current volume and audience sources with the last healthy period.
- Review spam-rate and Feedback Loop movement without assuming a low rate means healthy placement.
- Stop the risky source or campaign while preserving essential transactional traffic.
- Resume gradually with the most engaged, clearly opted-in recipients.
- Document the cause, corrective action, and signal required before scaling again.
If messages are incorrectly rejected, temporarily failed, or classified as spam or phishing after you have corrected the cause, verified the domain, and met Google's sender requirements, eligible owners can submit a delivery-issue report from Postmaster Tools. Treat escalation as the last step after the evidence and configuration are in order.
Postmaster Tools API v2 changes the workflow
The v2 API became generally available in February 2026. It replaces daily trafficStats calls with domainStats queries over flexible date ranges, adds compliance status, and supports batch queries across domains. In June 2026, Google added generally available domain and user management plus a deliverability-status verdict in compliance results.

The operating principle: connect signals to behavior
Postmaster Tools is most valuable when every chart can be connected to a change your team made. Track sending domains, traffic classes, audience sources, campaigns, authentication changes, and volume shifts. When a signal moves, you can then ask what changed instead of guessing at what Gmail might be thinking.
