BODY COPY / HOUSE PLANNING BAND

Inside the selected planning band.

The promotion planning band is 50–150 body words. Treat it as an editorial prompt and inspect the structure below.

Length is a design constraint, not a quality score.

Audience expectation, information value, hierarchy, rendering, offer complexity, and the requested action matter. Use your own outcome data to set planning bands.

EDITORIAL HANDOFF

Export inputs, assumptions, exact metrics, structure evidence, and limitations.

Word count measures volume. It does not measure value.

A 60-word receipt can be too long when it hides the amount paid. A 900-word newsletter can be appropriate when readers deliberately subscribed for a substantial briefing. The number becomes useful when it is connected to message purpose, hierarchy, audience expectation, and observed outcomes.

The tool shows an editable planning band instead of presenting generic ranges as universal performance benchmarks. Presets are conversation starters. They do not claim to predict open rate, click rate, conversion, complaints, placement, or revenue.

Subject, preheader, and body should not disappear into one total.

The subject and preheader shape the inbox preview before the body is opened. Their words and characters are counted independently. The body count is used for planning bands and reading time because it represents the visible message the recipient encounters after opening.

SUBJECTIdentity + reason to open

Evaluate accuracy, truncation, and relationship to the message.

PREHEADERUseful continuation

Avoid repeating the subject or leaking footer text into the inbox.

BODYInformation + action

Use structure to make the necessary length navigable.

Reading time is body words divided by the selected rate.

seconds = body words ÷ words per minute × 60

The default rate is 225 words per minute, but it is editable from 120 to 350. The estimate does not account for language, familiarity, cognitive complexity, code, tables, scanning, rereading, accessibility technology, or time spent following links.

The interface reports seconds below one minute and minutes plus seconds above it. It does not round a 10-second message up to “1 minute read.”

HTML tags, attributes, and CSS are not body copy.

HTML mode parses the source in the browser and counts extracted body text. It separately reports links, CTA-like links, images, missing alt attributes, headings, list items, and supplied-source bytes.

This is not a complete email-client rendering. Conditional comments, generated content, image blocking, CSS support, template compilation, personalization, tracking rewrites, MIME alternatives, and remote content can change the final experience.

Build planning bands from comparable messages and real outcomes.

  1. 01
    Separate message jobs.

Do not blend receipts, promotions, onboarding, newsletters, and incident notices.

  2. 02
    Preserve structural metrics.

Record body words, paragraphs, average and longest sentence, links, CTAs, and media.

  3. 03
    Choose the outcome.

Clicks, task completion, replies, downstream conversion, complaints, and support demand answer different questions.

  4. 04
    Control major differences.

Audience, offer, sender, timing, frequency, and subject can overwhelm a copy-length comparison.

  5. 05
    Repeat tests.

A single result can be noise. Use the A/B test calculator and preserve practical effect sizes.

  6. 06
    Turn evidence into a band.

Set a useful editorial range, then allow exceptions when the message job requires them.

Email word counter FAQ.

What is the ideal email word count?+

There is no universal ideal. Start with the information and action the recipient needs, then use comparable message data to set a house planning band.

Are subject and preheader included in reading time?+

No. They are counted separately. Reading time uses the visible body text only.

Does HTML code count as words?+

No. HTML mode extracts body text for word counts and reports structural HTML evidence separately.

Does shorter copy improve deliverability?+

Word count alone does not establish placement. Authentication, reputation, complaints, recipient expectation, links, message structure, sending behavior, and receiver policy also matter.

How are words counted?+

The tokenizer recognizes Unicode letters and numbers with internal apostrophes or hyphens. URLs are treated as one token for directional editorial counting.

What does lexical variety mean?+

It is unique normalized word tokens divided by all normalized word tokens. It is descriptive, not a writing-quality score.
