A signature is identity, not a miniature landing page.

Email clients rewrite markup, remove CSS, block images, change colors, and quote signatures through long reply threads. A durable signature uses a shallow presentation table, inline styles, system fonts, real text, and ordinary links. It keeps the hierarchy understandable when styling disappears.

Include what helps a recipient identify you, understand your role, and continue the conversation. Everything else must earn the space it adds.

Make the information work without color or decoration.

Names and contact details remain selectable text. Links use recognizable labels instead of raw tracking URLs. The HTML table is marked as presentational, the reading order stays logical, and the plain-text version carries the same contact information.

Email, phone, website, and LinkedIn links describe their destination.

Readable contrast

Accent-colored text should meet at least 4.5:1 against white at this size.

Real text

Identity and contact details do not disappear when remote images are blocked.

Remote images add more than decoration.

Logos and headshots may be blocked, enlarged, compressed, proxied, or stripped in replies. Every remote image also creates a request when it loads, which can expose information and behaves like tracking even when measurement was not the intent. Embedded base64 images are poorly supported and can bloat every message in a long thread.

Why does the HTML use a table?+

A single shallow table remains one of the most predictable ways to keep a small two-column signature aligned across email clients. It is marked role=presentation so assistive technology does not treat it as data, and the stacked layout avoids the table entirely.

Will the signature look identical everywhere?+

No. Email clients can rewrite markup, adjust colors, change link styling, and block content. The goal is graceful variation: the signature should remain readable and useful even when it is not pixel-identical.

Should every email include a legal disclaimer?+

Only when your organization or qualified counsel requires one. Long generic disclaimers add noise to every reply and do not automatically create confidentiality or legal protection. This is operational guidance, not legal advice.

Can I add social links?+

Include only channels that help the recipient continue the professional relationship. This builder supports one labeled LinkedIn link and avoids rows of image icons that can disappear or become unlabeled links.

How do I install the signature?+

Use Copy rich signature and paste it into your client's signature settings. If that client only accepts source markup, copy the HTML. Then send real messages to external Gmail, Apple Mail, and Outlook accounts and check desktop, mobile, replies, forwards, and dark mode.
